Rule number one:
Install Firefox or Chrome as your web browser

We recommend that you download the web browsers Firefox or Chrome on your computer. As an employee at LUSEM, you have a “packaged” workplace computer, based on agreements Lund University has with suppliers of hardware and software. Search for "self service" or "software centre" on your computer, and install one of the recommended web browsers.

What about Internet Explorer?
Microsoft isn’t supporting or developing Internet Explorer, and the web browser is not recommended to use.


Tools for digital meetings

The University offers cost-free tools such as Zoom, Skype for Business and Teams for digital meetings. 

Alternative 1: Zoom

Lund University offers staff and students the opportunity to use Zoom, a new tool provided via SUNET.  Zoom is used at many other universities in Sweden and has proven to be reliable and easy to use. In order to get good sound, simple headsets or headphones with a microphone is recommended.

How to download Zoom
Download Zoom through the Software Centre (for PC users) or Self Service (for Mac users). 

Get started with Zoom
Go to lu-se.zoom.us and click the Sign in button. Then log in with your user name (Lucat ID) and your account will be created on Zoom. Note that you have to enter via lu-se.zoom.us, not via Zoom's official site or Zoom help center. Always log in with your Lucat account. Do not create a personal account or a free test account.

More information and online support

Before the Zoom meeting starts
Important to note is that you as an organizer initially should mute all participants to avoid background noise. Preferably you do this before the meeting starts by chosing ”Edit meeting” and then ”Advanced options”.

It is also important as an organizer to send out information about how the participants test the link, sound etc. before the webinar starts to avoid 15 minutes of pure support matters. Don't forget to test your own sound and video settings before an important meeting. Try setting up a meeting with a friend our colleague and try everything out beforehand.

Capacity
As an employee of the University, you can hold meetings with up to 300 participants. Since most Nordic universities use Zoom right now, important meetings should be held outside of the peak hours (10:00–15:00).

Meetings in Zoom for larger groups
For Zoom meetings with larger student groups (more than 300 students) you can get help and advice from LU Canvas.

Alternative 2: Microsoft Teams

Lund University offers all staff and students access to Office365, in which Teams is included. Teams is a collaboration tool with document management and the same communication functions as Skype for Business. It can work as an alternative for digital meetings, tutoring and even lectures.

Alternative 3: Skype for Business

Skype for Business is pre-installed on most computers administered by Lund University. If Skype for Business is not pre-installed, contact support so they can help you. Mac users can also find it thorugh Self Service. Skype for Business smoothly integrates with Outlook, and has good chat functionality.

If you don’t have the desktop version of Skype for Business, or don’t have a Skype for Business account, you can use Skype Meetings App or Skype for Business Web App to join a Skype for Business meeting from your browser.

Personal Skype?
Lund University advises against the use of personal Skype since the application does not fulfil the University’s information security requirements and support cannot help in the recovery of contents or recreating logins.

To learn about the digital solutions available in Canvas, please follow this quick and easy Lund University online course. As an attendee of the course you can also read about other teachers' experiences – a great way to share best practice.

Go online (CoVid-19) – Open Canvas course, login with your Lucat ID

Here are some specific ”get started” resources put together by Lund University. You might need to login with your Lucat ID in order to view them.

  • Course calender: You can find all training opportunities given at Lund University. Basic Canvas courses and more advanced courses in for example how to handle assignments, videos etc.
  • Canvas 1-2-3 or “Build your course in five steps”: A good place to start! The course follows the way we usually structure our training sessions with smaller groups. The most crucial part of getting your course going is to agree on a structure.
  • Self-Study Course: The self-study course can be seen as a place to return to when you want to know more about a specific function.
  • Check-list before going live: Once you are happy with you course, please visit this check-list. It will help you check if the course is properly published, validate your links etc.

Create messages and announcements

How to create a message (mail)

  • Click on the "inbox" button. Compose your message, choose recipents and send.

How to create an announcement

  • Click “Announcement” to the left and then the button “+ Announcement”
  • Compose your message
  • Before you post your announcement you have to choose the recipients. Per default you have “All sections” i.e. everyone who has a role at the course; staff, students, administrators etc. You will find the course specific options beneath “Post to”.
    Choose All sections and you will reach everyone who has a role at the course; staff, students, administrators.
  • Choose The course name (for example MGTN26-Management: Global Challenges) and you will reach the course staff only.

    Choose The course code and a number and you will reach students only.

    Choose the Programme code and you will reach everyone connected to the programme, staff, students and administrators.

Publish a lecture or presentation in Canvas Studio

Canvas Studio is a recording tool for one-way communication. Many teachers and students already use it for lectures, instructions, presentations etc.

You can find Studio in the navigation menu to the left when logged in to Canvas. Then record etc. from the buttons on the top right corner in Canvas.

Film a lecture or presentation

LUSEM does not recommend that entire lectures are filmed or streamed. It is much better to provide shorter film clips, that can easily be filmed at your own computer. However, information of additional resources are found below:

On your own computer
Film a lecture or presentation on Zoom and publish it on Canvas via either Canvas Studio or LU Play. See detailed instructions under "Canvas for online teaching". We recommend using a pair of headsets or headphones with a microphone for better sound. 

Two smaller studios at LUSEM
At LUSEM you are now able to book a studio for easy film production. You bring your own laptop and connect to a web camera and microphone and you produce the film via Zoom. In the studio there are light boxes, a short manual and a door sign saying that the room is occupied. Supplementary equipment will be put in place eventually.

Ideon video studio
Ideon has a small studio that you can rent for 500 SEK per hour (each session has to be at least two hours). Contact anna.lothman@ehl.lu.se for more information and help to book the studio.

There is a new studio at Lund University, Corporate Communications. The studio is mainly aimed towards research news or student recruitment. Contact the LUSEM communication's officers at info@ehl.lu.se if you have got an idea.

The DIY approach
You can achieve "good enough" video quality with a cell phone, an external omni directional lavalier microphone and a tripod. Contact the LUSEM communication's officers at info@ehl.lu.se for an introduction to these techniques.

Canvas for digital exams

Quizzes in Canvas are assignments that can be used to challenge student understanding and assess comprehension of course material.

Inspera for digital exams

Inspera is usually a tool for digital exams, but within a lecture hall. Inspera can, with some adaptations, be used remotely. More information will come. Contact hans.knutsson@fek.lu.se if you have questions in the meantime.

Peergrade for student peer reviewing

Peergrade is a software facilitating students peer reviewing one another, in groups or individually. It is a convenient complement to traditional written assignments and improves both the workload and the learning experience for students, without much extra work for teachers.

The logic is that students hand in an assignment, another student or group reviews it according to headings the teacher sets up, concluded by a ”reaction” from the reviewed student or group concerning the quality of the feedback in the review. The name notwithstanding, it is not recommended to be used for students grading each other.

LUSEM has an account in Peergrade, ready to use. Peergrade is also integrated with Canvas, which keeps the student inside the Canvas domain when using it.

Go to https://www.peergrade.io and watch the video introduction. Click ”Get started”. Choose ”I’m a teacher”. Sign up with your @xxx.lu.se-account (important!).

Online thesis supervision can be conducted in many ways using one, or a combination of, several technologies.

  • Make sure that your internet connection is good and stable.
  • Most modern mobile phones and laptops have both built in webcams and basic speakers.
  • For better sound, we recommend using a pair of headsets or headphones with a microphone. Most modern mobile phones comes with a simple headset that will do the work.
